Corporate Coordinator

Reporting to the Chief Financial Officer, the Corporate Coordinator is responsible for the overall confidential administrative support to up to 4 senior executives, as well as may provide additional support to multiple departments as required.

 

Key Responsibilities:

 

  • Calendar Management
    • all meetings internal & external, lunches, important dates,
  • Client support
    • Produce sales and Pareto information materials as necessary
    • Assist with proposals development
    • Ensure entries are up-to-date
    • Help maintain client relationships through selection, purchase coordination of appropriate client gifts. 
  • Departmental support
    • Liaise between members of the department to gather documents, prepare for calls, stay current on project status, and maintain client relationships
    • Be connected, create and sustain great relationships with all employees
    • Ad hoc problem solving

o        Potential involvement in bi-weekly payroll

  • Administrative support
    • Preparation of expense reports

o        Complete public company filings monthly and ad hoc

  •  
    • Travel booking
    • General maintenance of files & paperwork as directed & required
    • Mail handling
    • Preparation of documents & financials for internal meetings, often coordinated with Finance or other departments
  • Personal support as required
  • Reception relief each day

 

Skills and Qualifications:

 

  • Minimum 5 years supporting executive level management
  • Demonstrated experience working in Finance administration
  • Exceptional verbal and written skills are excellent; French language skills are an asset
  •  Strong interpersonal skills enable you to provide effective administrative support at a senior management level.
  • Flawless organizational skills, ability to coordinate and execute. Highly detailed.
  • Advanced computer and Microsoft office skills, including but not limited to Excel, Word, Outlook and PowerPoint.
  • Streamlined multi-tasker able to prioritize challenging and sometimes conflicting schedules and workloads.  Thrives in high pressure environment
  • Highly flexible and works well with changing priorities or changing situations and to new ideas and concepts
