The Executive Administrative Assistant will report to and assist the Vice President of Engineering & Project Management.

- Liaising with all direct report managers for reports and meeting preparation requirements
- Organizing internal and external meetings
- Preparing reports and presentations for meetings with Senior Management and Lead Officers group
- Arranging business travel
- Providing support and assistance to the Vice President's delegate during his business travel
- Liaising and assisting Senior HR Advisor with Staffing Projection Plans for the Group
- Administrative Assistant recruitment - Assisting Senior HR Advisor in pre-screening potential candidates' resumes and assisting in interviews to help determine final candidates for the hiring manager
- Provide support and guidance to the Group's Administrative Assistant team members whenever is required
- Coordinate and schedule regular (Quarterly) E&PM Administrative Team Meetings
- Provide Administrative / Secretarial support to Project Teams as may be required
- Organize Quarterly Updates meeting, New Hires Lunch as well as all other group functions
Qualifications
Our ideal candidate will have the following qualifications:
- A Secretarial Diploma or related post-secondary education
- Senior administrative experience with progressing towards an executive level
- Prior experience in a mega and/or major capital project management environment would be a definite asset
- Proficient in Microsoft (Power Point, Word, Excel, Visio), Outlook, working knowledge of SAP
- Ability to handle a fast pace working environment and work under pressure
- Effective time management skills to meet work assignment deadlines
- Dynamic interpersonal skills with people (internal and external)
- Strong organizational skills
- Ability to work under pressure
- Flexibility in work hours
- Strong coordination and collaboration skills
