We are offering an opportunity to join a dynamic, fast paced team as a File Clerk with one of the leading mutual fund companies. As a member of our Calgary Team, this person will be responsible for maintaining the research and portfolio managing filing. In addition they will be responsible for providing limited reception duties and photocopying and binding requirements including presentation materials for potential and existing clients. Other duties may also include, adhoc photocopying requests, achieved data retrieval, assistance with special events and functions and providing administrative support to other departments as needed. Validate data in reports, print reports for Portfolio Managers, prepare expense reports for Portfolio Manager and book Portfolio meetings.
Filing – Research:
Maintain research file database including new file set-up, periodically culling outdated or duplicated material, and ensuring research data is filed on a timely basis.
Filing – Portfolio Manager:
Ensure Portfolio Manager client filing is kept up to date, by filing correspondence, valuations and other relevant documentation in the Portfolio Manager client binders.
As needed, perform reception duties, including efficiently greeting visitors to the office and maintaining an orderly and professional reception area. Assist with the set up of meeting rooms including greeting guests and arranging for water and coffee as necessary. Ensure meeting rooms are cleaned between meetings.
As required, carry out the photocopying and binding of presentation materials for existing or potential clients on a timely basis. Will ensure the cosmetics of the package are correct, i.e. pages are in the correct order, tabs are properly located, and the image is clear and professional looking.
Archiving and retrieval of offsite records, organizing catering/reservations of internal and external meetings and assisting with completion of staff expense reports.
Ideal candidates will have:
High school diploma
Experience with Microsoft Word and Excel
Experience with Windows
Knowledge of database system (such as Access)
Previous reception experience
Pleasant and profession manner
